Guidelines for presenters
Practical instructions for presenting, chairing and taking part in the online sessions of BCDE 2020. The rules are provided in English and Spanish.
The third presenter of each session is assigned the role of Chair of that session. Presenters are asked to join the webinar ten minutes before the starting time.
Main rules

- The third presenter of each session is assigned the role of Chair of that session. To see the order of presentations, please refer to the program.
- When the third presenter is set to talk, the second presenter becomes the Chair.
- All presentations in contributed sessions should be in English. The chair can give presenters the option to present in Spanish only if all in the audience speak Spanish.
- The main role of the Chair is to take care of time, collect questions from the audience, and transmit them to the presenter.
- The time allocated to each presenter is a maximum of 30 minutes, including questions and answers.
Instructions for all presenters
- Please join the webinar 10 minutes prior to the starting time of the session. You will receive your personal Zoom invitation by email.
- Participants visible as “BCDE Staff” will assist you with any questions before and during the webinar.
- Rehearse screen sharing and test your audio and video. If you are using a headset with a built in microphone, please be sure to test this well in advance of the seminar.
- Please turn off your microphone when you are not speaking.
- Familiarize yourself with the Q&A and Chat features in Zoom.
- Chat will be available for all presenters to send messages to other presenters, staff, or the audience. Please verify to whom are you sending the message beforehand.
- Presenters cannot ask questions to each other in the Q&A, they can however use the Chat to ask questions.
- The audience will be allowed to use only the Q&A feature.
- We recommend that the presenter should have their camera on during the presentation and the Q&A. Please also leave your slide presentation on the screen until you have finished answering questions.
- Please avoid animations, videos, or sound in your slides, as they are not compatible with streaming webinars.
Specific instructions for Chairs
- Upon arrival, BCDE Staff members will identify you using the Chat, and will make you a Co Host of the webinar.
- The BCDE Staff will share a Session Title Slide on the screen until the session begins.
- The BCDE Staff will allow attendees to enter the session 3 minutes prior to the start time.
- The Chair should start the meeting at its scheduled time with welcoming remarks, housekeeping notes, and very short introductions.
- The Chair should turn on their camera and microphone whenever they are speaking and remember to turn them off when they are not speaking.
- The Chair should explain to the audience how Q&A will be handled and give brief instructions.
- The Chair should select the most relevant questions from the Q&A module and read them out loud when the time for questions arrives.
- BCDE Staff will remove any irrelevant or inappropriate questions.
- A Chair with Co Hosting controls can unmute trusted attendees individually, allowing them to verbally contribute to the Q&A.
Reglas principales
- Al tercer presentador de cada sesión se le asigna el rol de moderador (Chair) de esa sesión. Para ver el orden de las presentaciones, consulte el programa.
- Cuando el tercer presentador está listo para hablar, el segundo presentador se convierte en el moderador.
- Todas las presentaciones en sesiones contribuidas deben ser en inglés. El moderador puede dar a los presentadores la opción de presentar en español solo si todos los presentes hablan español.
- El papel principal de la presidencia es ocuparse del tiempo, recopilar preguntas de la audiencia y transmitirlas al presentador.
- El tiempo asignado a cada presentador es de un máximo de 30 minutos, incluidas las preguntas y respuestas.
Instrucciones para todos los presentadores
- Únase al seminario web 10 minutos antes de la hora de inicio de la sesión. Recibirá su invitación personal de Zoom por correo electrónico.
- Los participantes visibles como “BCDE Staff” lo ayudarán con cualquier pregunta antes y durante el seminario web.

- El chat estará disponible para que todos los presentadores envíen mensajes a otros presentadores, al personal o al público. Verifique a quién le está enviando el mensaje de antemano.
- Los presentadores no pueden hacerse preguntas entre ellos mediante el módulo de Preguntas y Respuestas, pero pueden usar el chat para hacer preguntas.
- El público podrá usar solamente la función de preguntas y respuestas.
- Recomendamos que el presentador tenga su cámara encendida durante la presentación y las preguntas y respuestas. Deje sus diapositivas en la pantalla hasta que haya terminado de responder preguntas.
- Evite animaciones, videos o sonido en sus diapositivas, ya que no son compatibles con los seminarios web.
Instrucciones específicas para moderadores de sesión
- A su llegada, los miembros del personal de BCDE lo identificarán mediante el chat y lo convertirán en coanfitrión del seminario web.
- El personal de BCDE compartirá una Diapositiva del título de la sesión en la pantalla hasta que comience la misma.
- El personal de BCDE permitirá a los asistentes ingresar a la sesión 3 minutos antes de la hora de inicio.
- El moderador debe comenzar la reunión a la hora programada con comentarios de bienvenida e introducciones muy breves.
- El moderador debe encender su cámara y micrófono cada vez que esté hablando y recordar apagarlos cuando no.
- El moderador debe explicar a la audiencia cómo se manejará el módulo de preguntas y respuestas y proveer breves instrucciones.
- El moderador debe seleccionar las preguntas más relevantes del módulo de preguntas y respuestas y leerlas en voz alta cuando llegue el momento de las preguntas.
- El personal de BCDE eliminará cualquier pregunta irrelevante o inapropiada.
- El moderador puede activar el microfono de los asistentes en los que confía de manera individual, lo que les permite contribuir verbalmente a las preguntas y respuestas.
